TRANSFER AGENCY OVERSIGHT CONSULTANT

PHILADELPHIA, PA

Overview of the role:

  Role includes acting as the main point of contact with the service providers with emphasis on vendor performance, adherence to service level standards, billing and invoicing as well as communicating firm strategic initiatives. Will act as liaison between the oversight team and the transfer agency by providing service and support to address complex service issues and/or support requests.  In addition, this position will be asked to partner with internal stakeholders to evaluate and challenge the status quo of established relationship and proactively determine solutions for future needs. This position will also support project management for specific vendor related initiatives. 

 

Responsibilities:

  • Monitor and report on vendor performance to contract (e.g., adherence to service level agreement (SLA), and Key Performance Indicators (KPI).

  • Identify and track vendor issue escalations and resolutions. Participate with business partners in resolving escalations.

  • Documents, evaluates, and tests systems and controls to determine their adequacy and effectiveness to ensure i) compliance with policies and procedures, (ii) accomplishment of management’s objectives, (iii) reliability and integrity of information, (iv) economic use of resources, and (v) safeguarding of assets.

  • Design and maintain documented policies, standards, processes, and procedures necessary to accomplish the functions of the position.

  • Facilitates regulatory shareholder mailings for direct and beneficial shareholders

  • Act as main facilitator to deliver evidence for annual audits for the Transfer Agent and 529 financial audit.

  • Participate in vendor-based disaster recovery and cyber security testing.

  • Participates in preparations for risk-based audit plans in accordance with Transfer Agent standards

  • Ability to apply independent judgment, analysis, and initiative in order to resolve challenges and make recommendations.

  • Model ethical behavior and execute job responsibilities in accordance with Hartford Funds core values, ethics, and information protection policies.

 

Qualifications: 

  • Bachelor’s Degree in Business or equivalent coursework preferred.

  • Experience with open end and closed end funds as well as internal partnership/oversight for multiple functions including regulatory, compliance, and transfer agent processing.

  • Experience/knowledge of third party oversight preferred.

  • Minimum of four years of prior financial industry operational and/or vendor management experience.

  • Strong sense of urgency, personal responsibility, accountability; self-motivated, efficient, effective.

  • FINRA license or willingness to obtain within department guidelines

  • Excellent analytical and problem-solving skills.

  • Strong negotiation and conflict resolution capabilities.

  • Excellent oral and written communication and interpersonal skills.

  • Ability to work independently as well as within a team environment.

  • Must possess a high degree of initiative and the ability to prioritize multiple tasks.

  • A demonstrated belief that everyone is your customer and possesses an ongoing dedication to exceeding the needs of customers.

  • Be part of a high performing team that collaborates on challenges, shares successes, and embraces change.

  • Proficiency in Microsoft Office Suite products, to include Access, Excel, PowerPoint, Word, Outlook, Project and Visio.
